Terms and Conditions

Associate Members
Only spouses and legal dependents (children under 21 or full-time students under 24) may be included on your membership.

Ground Package (Optional unless specified.)
All ground packages are per person based on double occupancy and are E.P. (European Plan-No Meals) unless otherwise noted on the schedule. Single, third person, and children's rates are also listed.

Car Rental
Minimum age for car rental is 25. Any car rental option does not include fuel service charge, government surcharges, local taxes, airport concession fees, optional LDW, PAI, PEP, ALI, or prepaid gas option. Driver must present valid drivers license and meet standard rental requirements.

Air Only
Flight only from airport to airport. Does not include any features of the ground package, specifically transfers from place of landing to final destination. Place of landing may differ from destination listed on schedule. Members arranging their own accommodations do so at their own risk and the Air Club 2000 cannot be responsible for any losses or non-return of deposits for accommodations made directly by the member should a Club trip be canceled. 

Credit Card Reservations
Reservations may be made directly for Air Club 2000 destinations by telephone using Visa, MasterCard, Discover, American Express, or Diners Club as form of payment. Any payment made by one of these credit cards must be refunded through a charge card credit in the event of cancellation.

Connections
The Air Club 2000 assumes no responsibility or liability in the event you miss the charter flight due to weather, other delays, or late arrival of your connecting flight. Participants purchasing other transportation for connections to or from this charter flight assume total responsibility and liability in the event connections are missed.

Children Traveling
Child's air fare is per one adult airfare for children 17 and under. Special air fares for children 17 and under are valid one per adult air fare purchased. Federal Air Regulations require that any child over the age of 24 months must occupy a separate seat. Reduced prices for children on ground packages are based on children sharing a room with two adults.

Limited Membership Rules and Regulations
Our Limited Membership program offers Members an opportunity to invite guests on Air Club 2000 flights. Your guests may travel at the Air Club 2000 rate plus a non-refundable fee of $50 per person. Payments must come only from the sponsoring Members, as neither monies nor reservations will be accepted directly from the Limited Members. Booking procedures for guests are the same as procedures for Members via telephone. The sponsoring Member must accompany the Limited Member on all trips. All trip arrangements for a Limited Member must be handled by the sponsoring Member. Only the sponsoring Member will receive the confirmation card and flight documents. The Limited Member is not entitled to receive any of the Club's regular publications. Once a Limited Member has been confirmed, the fee becomes non-refundable. Should the Limited Member cancel after being confirmed, any reservation is subject to all cancellation charges as provided for in the Club rules. The sponsoring Member is responsible for the conduct and financial obligations of the Limited Member. Grandchildren under 18 years of age are exempt from Limited Member Fee when traveling with grandparents.

Reservations & Payment
A $100 per person deposit (or greater when specified) is required to confirm your reservations. If the trip is fully booked when your reservation is received, we will notify you within 7 days that your selected flight is not available. We will place your name on a waiting list in case other passengers cancel their reservations. Your payment will be placed in your escrow travel account awaiting confirmation. Upon confirmation of reservation, balance of payment in full is due 45 business days prior to scheduled departure date or earlier if specified for extended trips. For reservations made within 45 business days of departure, full payment is due immediately, and a deposit will be taken if you are placed on standby. ALL CHECKS AND MONEY ORDERS ARE TO BE MADE PAYABLE TO AIR CLUB 2000. Membership must be current in order to travel.

Cancellation & Refund
You have the right to cancel your reservations and receive a full refund (less a $50 fee per person) any time prior to 45 business days before a scheduled departure date, unless otherwise noted in the trip description. Cancellations received 44-11 business days prior to departure will be subject to the $50 fee per person plus any applicable ground penalties (up to 100% of price) unless Trip Protection is purchased at time of booking. Participants who cancel within 10 business days prior to departure will forfeit the total amount of the reservation. All refunds will be processed according to the manner in which you paid. Unless stated otherwise in these terms and conditions, please allow thirty (30) days for refunds to be processed.

Revisions & Changes
Changes are subject to a $50 per person change fee plus any applicable cancellation charges, or increases in the package price. Cancellation and changes fees are waived with the purchase of our Trip Protection Option. When changing from single to family membership, the differential cost of $50 must be paid.

Prices
Our prices are in U.S. dollars and are based on operating costs, fuel prices and exchange rates at the time of contracting with suppliers. Should these increase, you may be notified and asked to pay these additional costs. In the event you decide to cancel, because of a Major Change, a full refund will be made, subject to the section on Major Changes. Package prices do not include any fees or service charges other than those listed in the tour itinerary. All departure taxes will be included in the air share unless this is not allowed by the country to be visited. All prices are subject to change without notice. We reserve the right to re-invoice you in case an error is made in computing your price. Sorry, we cannot be responsible for typographical errors.

Trip Protection
This covers any penalties incurred by changes or cancellation of air and ground components for a particular reservation and guarantees the refund of money for any unused vacation portions. It does not cover trip protection fees, limited membership fees, non-refundable optional tours, or voluntary changes made to your plans which result in a price increase. Trip protection may only be purchased at the time of booking and is valid for new bookings only. If trip protection is desired, it must be purchased by each paying passenger on the reservation and each person sharing accommodations. Cost per person is different for each destination and found in the price box for each trip, and is subject to change upon booking. In addition to cancellation coverage through trip protection, travel insurance may be purchased through Insure America at (800) 844-7181 ID #004766 8-94. The Air Club 2000 cannot be held responsible for policies enforced by Insure America.

Direct Air Carrier
Air transportation for most Air Club 2000 trips will be provided by Texas Air International, Inc. via Lockheed -200 (345 seats) aircraft. The air carrier reserves the right to substitute equivalent aircraft or equipment if necessary. The operation of international flights is subject to foreign governments involved granting landing rights for the flight. In the event such landing rights cannot be obtained, the flights will be canceled and the tour participant will receive a full refund.

Travel Documents
Regulations specifically state that all passengers must present positive identification when boarding (both ways). Any person who cannot prove that he or she is the person designated on the reservation form will not be allowed to board the aircraft. International flights require that you be able to present Proof of Citizenship (state certified birth certificate along with a picture I.D.) or valid U.S. passport as required for specific destinations. Any person traveling under a surname other than that which appears on his or her birth certificate or passport should be able to present proof of that name change (i.e., married women should present a marriage license). For Mexican and other foreign destinations: Any Child 17 years or younger, not traveling with both parents is required to carry a Parental Consent Form, or a permission letter, signed by both parents and notarized at the time of check-in. Non-U.S. citizens should consult the consulate of host country regarding documentation required.

Flight Times
Estimated times will be sent to you approximately 10 days prior to departure and may still change due to operational restrictions mandated by the F.A.A., or the airports involved. Texas Air International and Air Club 2000 reserve the right to change or alter flight times at their discretion. Operational times quoted via telephone are estimated only and cannot be guaranteed.

Baggage Allowance & Liability
Baggage allowance is 70 lbs. per person not to exceed two checked prices. On transoceanic flights, combined baggage weight is not to exceed 44 lbs. per person. Any overweight baggage is subject to additional charges by air carrier. For international flights, the air carrier liability is limited to the actual value of the baggage but not more than approximately $9.07 per pound for checked baggage. (Not to exceed two at $640 per bag and approximately $400 per passenger for unchecked baggage.) For domestic flights, the liability is limited to $1250 per passenger for both checked and unchecked baggage. Claims for damaged luggage must contain a description of the luggage and its contents and must be reported immediately following termination of the trip. Air carriers liability excludes jewelry, camera equipment, electronic equipment, cash, securities, business documents, precious metals, paintings or works of art, medication, compressed oxygen bottles, fragile articles and other valuables, and minor damage due to normal use. Each passenger is allowed only one (1) carry-on bag not exceeding the dimensions 9" x 13.5" x 19.

Surety Bond
Your payments are protected by a Surety Bond by Reliance Surety Company, Philadelphia, PA, U.S.A., and are filed with and approved by the U.S. Department of Transportation pursuant to 14 CFR PART 207 and Part 380. Unless you file a claim with us, or if we are not available, with the securer within 60 days after the termination of the charter, the securer will be released from all liability under the security agreement.

Responsibility Of Air Club 2000
This tour program is organized and planned by the Air Club 2000 and operated by Texas Air International, Inc., 306 Lone Oak Circle, Euless, Texas. Air Club 2000 is responsible for making all arrangements for air transportation, accommodations and services offered in connection with this public charter. This responsibility does not extend to any assumption of liability for any personal injury or property damage arising out of or caused by any hotel, other air carrier or anyone rendering any of the services or accommodations being offered in connection with the public charter. It is agreed by and between the passenger and Air Club 2000/Texas Air International, Inc. that all disputes and matters whatsoever -arising under, in connection with or incident to this agreement shall be litigated, if at all, in and before a court located in Dallas/Ft. Worth, Texas, U.S.A., to the exclusion of the courts of any other state or country.

Operator Cancellation
Subject to the charter rules on Major Changes, the Air Club 2000 reserves the right to cancel or alter the travel services at their discretion and in the event of complete cancellation, Air Club 2000's only liability will be to refund, within 14 days, all monies paid. AIR CLUB 2000 MAY NOT CANCEL A TRIP LESS THAN 10 DAYS BEFORE SCHEDULED DEPARTURE EXCEPT WHEN IT IS PHYSICALLY IMPOSSIBLE TO PERFORM THE TRIP. IF A TRIP IS CANCELLED 10 OR MORE DAYS BEFORE DEPARTURE, TEXAS AIR INTERNATIONAL WILL NOTIFY PARTICIPANT IN WRITING WITHIN 7 DAYS OF CANCELLATION, BUT NOT LESS THAN 10 DAYS BEFORE SCHEDULED DEPARTURE. IF CANCELLED LESS THAN 10 DAYS BEFORE DEPARTURE, NOTICE WILL BE GIVEN AS SOON AS POSSIBLE, BUT IN ANY EVENT BEFORE THE SCHEDULED DEPARTURE.

Major Changes
In accordance with Part 380 of the D.O.T.'s Special Regulations, the applicable Major Changes are as follows: (1) a change in the departure or return dates shown in the brochure unless due to flight delays of less than 48 hours, (2) change in the origin or destination city for any flight leg other than a change in the order in which cities are visited, (3) a substitution of a hotel not named in the brochure, (4) price increases amounting to more than 10%. If Air Club 2000 knows of a major change 10 or more days before a scheduled departure, you will be notified within 7 days, but in any event at least 10 days before scheduled departure and otherwise as soon as possible. Time changes within the scheduled day of departure do not constitute a major change. WITHIN 7 DAYS AFTER RECEIVING A PRE-DEPARTURE NOTICE OF A MAJOR CHANGE, BUT IN NO EVENT LATER THAN DEPARTURE, YOU MAY CANCEL AND A FULL REFUND WILL BE MADE WITHIN 14 DAYS AFTER CANCELLING. UPON A POST-DEPARTURE NOTIFICATION OF A MAJOR CHANGE, YOU MAY REJECT THE CHANGE AND WITHIN 14 DAYS AFTER THE SCHEDULED RETURN DATE WILL RECEIVE A REFUND OF THE PORTION OF YOUR PAYMENTS APPLICABLE TO THE TOUR COMPONENT NOT PROVIDED. All of your rights and remedies hereunder are additional to other rights you may have under law, but acceptance of any refund hereunder constitutes a waiver of all such other rights and remedies.

One-Way Policy
Air club 2000 does not sell one-way air fares; however, a member can opt to travel one way on any given flight. Full payment of the flight is still expected. Then, if the seat on the return flight on which he/she was originally scheduled is sold to another member,  Air club 2000 will refund half of the original cost of the flight minus a $50 service charge per person. In order to book a one-way flight, a request to Reservations is required BEFORE travel. To obtain a refund, a written request to Air Club 2000 is required AFTER the return flight.

Suppliers Liabilities
Air Club 2000 may make arrangements with other direct air carriers, hotels, car rental companies and other independent parties to provide you with travel services you purchase. These services are subject to the conditions imposed by these suppliers, and their liability may be limited by their tariffs, conditions of carriage and international agreements.

Standby Reservation
Standby reservations are accepted and encouraged on all flights which are sold-out. To be placed on the standby list, simply complete the reservation form and submit a $100 per person standby deposit. Standby reservations may be taken over the telephone using Visa, MasterCard, Discover, American Express or Diners Club. The required deposit will be processed using the credit card in order to place names on the standby list. There are no cancellation fees imposed for canceling standby reservations. The administrative fee is in effect only for confirmed reservations which are canceled. As cancellations are received, we call the first name on the standby list and offer available seats to them. We then call the next person, and so on, until all seats are resold or the standby list is exhausted.

Seat Assignments
Any seating requests you make at the time of booking will be considered; however, these are requests, not guarantees. Seat assignments on all Club trips are honored in reservation date order and must comply with Federal regulations.

Travel Conduct & Membership Fulfillment
Unacceptable behavior on a Air Club 2000 or at any Club-sponsored social event may result in termination of your membership.
